Organise your Meetings
- Collects attendees' availability
- The meeting organiser sends availability survey notifications to attendees either through their user name if they are internal users or through their email adresses if they are external to the organization.
- Dashboards for invitations and reminders
- The organiser uses a first dashboard to follow-up the status of survey notifications,
invitations, reminders and related answers that are sent/received.
A second dashboard provides the suggested best time slot for the meeting based on the collected surveys and the attendees respective categories. Detailed answers by single attendee are reported as well.
- Outlook add-in directly synchronized to the calendar
- Provide key information to colleagues and external parties about the meeting and any updates.
- Pre-generated agendas, board packs & minutes
- Before the meeting, the agenda and the board pack can be pre-populated automatically
in one-click based on all info on the room and all documents already uploaded.
They are then shared on the platform.
The board pack function builds a single PDF report with a "corporate" cover sheet with the logo, the date, the subject, the list of attendees, the agenda, the entity letterhead and all uploaded documents.
After the meeting, the minute can be generated as well with the list attendees that effectively participated and a signature sheet either ready for printing or for the electronical signature on the platform.
Share your documents and minute meetings
- Document sharing
- The organiser creates a Room, invites attendees to have access, shares an agenda and
defines a possible time frame for a meeting.
The organiser and the attendees can upload documents on the platform in order to share them with the other attendees and download the documents that have been already uploaded.
- Digital electronic signature
- The organiser can bring some of the uploaded documents to the inbox of the possible
signatories.
The related attendees can sign them off directly on the platform with the digital signature module and notifications are sent accordingly.
- Log-in with LuxTrust
- The LuxTrust certification of users can be set-up as an additional control for the digital signature or for the log-in access to the platform.

hosting service provider.
